Problem
The pharmacy installation at RSJPD Harapan Kita managed stock requests (amprahan) from 9 subunits using paper-based bon forms. The process had no real-time visibility, no automated stock tracking, and generated no structured data for reporting or procurement planning.
Solution
Built a role-based web app hosted on Google Apps Script, backed by Google Sheets as a live database. The system digitizes the full request lifecycle — from item selection to warehouse verification, goods preparation, and receipt confirmation with automatic stock decrement.
Key Design Decisions
- check_circleChose Google Apps Script over a dedicated server to eliminate infrastructure cost and leverage existing Google Workspace access across heterogeneous hospital computers.
- check_circleUsed Google Sheets as the database to ensure data is auditable and accessible without a separate admin interface.
- check_circleBuilt autocomplete item search across 89 SKUs to reduce input time for clinical staff unfamiliar with item codes.
Impact
- check_circle9 subunits onboarded across a national cardiovascular referral hospital
- check_circle89 SKUs tracked with automated stock decrement on confirmed receipt
- check_circleEliminated paper bon process — request-to-verification cycle reduced from manual handoff to real-time digital workflow
- check_circleExpenditure reports generated on-demand vs. previously unavailable
